Webadmin Booking System

The webadmin booking system allows members of staff to easily view, edit and create PC reservations.

 

   The vertical green line represents “now”. New bookings can only be made to the right of the green line.

   Bookings made from customers via web or app will appear automatically on the webadmin calendar and can be manually adjusted if required.

 

In addition to the PC grid view, there is the daily summary view, which will be particularly useful for larger centers. Bookings can also be created and edited from this view.

 

A new booking is created simply by selecting the start time on the grid, which will open the new booking panel.

 

Additional PCs can be added to the booking on the right panel, or by holding CTRL and clicking in the grid.

 

 

Internal messages about the reservation can be added  to help with team communication

 

After finalizing, the booking will appear on the grid and can be hovered for more information. At this point, and email confirmation will be sent to the party leader with details and the OTP (one time password).

 

Bookings duration can be extended by dragging a PC (which will change the duration of all pcs in the booking).

 

Once a booking has been adjusted, the customer or party leader will be notified via email and mobile app.

 

It is simple to adjust booking after it has been created. Any details about the booking can be adjusted. The party leader will automatically receive an email about any adjustments.

 

Choose if ggLeap should lock pcs shortly before booking time in preparation for the booking (configurable in settings).

 

There is a booking log as booking can originate from webadmin, web or mobile app.

 

This is the OTP which is emailed to the Party leader and is visible in your mobile app. It will unlock all pcs that have been reserved.

 

1.  If nobody is using a PC as the booking time approaches, the system can lock the PC to prevent anyone using the PC without
booking passcode

2.  In the event of a no-show to a booking, the system can unlock the computer from booking mode

3.  If the booking time is approaching and someone is logged into the PC, you can select the amount of time before the user is issued an “OPT Ultimatum”. This will require the user to either enter the OTP (if the person who made the booking arrived early and wanted to just start) or prepare to end their session.

4.  This is the amount of time prior to the booking, that a user who has not entered the OTP, will be logged out of the PC. The PC will then immediately enter “locked” status await OTP from the booking customer or party leader.

5.  When someone books a PC or group of PCs from the web or mobile app (ie without staff choosing), the ggLeap backend needs to be smart about which PC’s to allocate (making best possible attempts to sit players together). In the case of a same-day booking, this is complex (since all pcs may currently be in use, but customer wants to make a booking for later in the day). In this case you can choose the minimum amount of time from “now” that can be allowed for a future booking when there are currently no available PCs.

In the above example, its 6 hours, which means that a booking will be placed on PC’s 6 hours from now, even if all PC’s are currently in use (and any gamers who are using those pcs in 6 hours will be forced to log out of the PC). It is easy for admins to make manual adjustments to decisions made by the booking system if required.

  • Which Environments are covered by these restrictions?

  • Earliest booking from now - will be the default X hours that a user will have to wait before they can book an occupied machine.
    • User Group variations -  are the exceptions from Earliest booking from now conditions where the users in these groups’ waiting time are defined, could be longer/shorter.

 

Example:

    • A center has only 1 machine (PC01), and it’s currently occupied by a user.
    • Current time 11:00AM

     

    • When a non-logged in/general user tries to search for a booking at 11:00am-4:45pm using the website/mobile app, it will show that no machines are available for these hours. 
      • But if he searches for a booking at 5:00pm and beyond it will show the PC01 is available.
    • When a VIP member  tries to search for a booking at 11:00am-12:45pm, using the website/mobile app,it will show that no machines are available for these hours.
      • But if he searches for a booking at 01:00pm and beyond it will show the PC01 is available.
    • When an Elite member  tries to search for a booking at 11:00am-11:45am, using the website/mobile app, it will show that no machines are available for these hours.
      • But if he searches for a booking at 12:00pm and beyond  it will show the PC01 is available.

     

    Other notes:

    • When there is an upcoming booking, it doesn't matter who is logged in it will always trigger Client PC booking behavior conditions.
    • The time remaining of the logged in user doesn't matter.
    • We have a 15min interval logic in booking search/booking creation (XX:00, XX:15, XX:30, XX:45)
      • If the current time now is 1:22, the next available booking will be 1:45

     

    6.  As we are also reworking the ggLeap usergroup system (to take automatic payments with credit cards!), we want to start adding more perks for different user groups.

    “Add exception” will allow you to choose a user group that can make same-day requests with more authority. For example a VIP user could make a same-day booking 4 hours from now (while non vip users must wait 6 for example), regardless of who is currently logged in and a non-vip user will be more likely to have to give up their seat if no PCs become available in that time. 

    The customer who makes the booking will be sent a configurable email confirmation with all necessary details.
